Terms & Conditions

These Terms & Conditions apply to all Schools Pantomime bookings made with Stage-ed. By confirming a booking, the school, organisation or individual making the booking agrees to these Terms & Conditions.

1. Definitions

  • "Stage-ed", "we", "us" or "our" refers to Stage-ed.
  • "Client" refers to the school, academy, trust, nursery or organisation making the booking.
  • "Performance" refers to the Schools Pantomime and associated activities.
  • "Venue" refers to the performance location.

2. Bookings

2.1 All bookings are subject to availability.

2.2 A booking is only confirmed once:
  • written confirmation has been issued by Stage-ed; and
  • the required deposit has been received.

2.3 The individual making the booking confirms they are authorised to enter into agreements on behalf of the Client.

3. Fees & Payment Terms

3.1 A non-refundable deposit of £150 plus VAT is required to secure each booking.

3.2 Full remaining balances must be paid no later than 30 days prior to the scheduled Performance date unless otherwise agreed in writing.

3.3 Stage-ed reserves the right to cancel bookings or refuse attendance where payments remain outstanding.

3.4 All prices quoted are exclusive of VAT unless otherwise stated.

3.5 Late payments may incur statutory interest and recovery costs in accordance with applicable UK legislation.

4. Cancellation Policy

Cancellation by Client

4.1 All cancellations must be submitted in writing.

4.2 The following cancellation charges apply:
  • More than 90 days before the Performance date: Deposit retained only.
  • Between 31 and 90 days before the Performance date: 50% of the total booking fee payable.
  • 30 days or fewer before the Performance date: 100% of the total booking fee payable.

4.3 Where possible, Stage-ed may attempt to reschedule bookings, however this cannot be guaranteed.

Cancellation by Stage-ed

4.4 In the unlikely event that Stage-ed must cancel due to circumstances beyond reasonable control including severe weather, venue issues, staff illness, transport disruption, government restrictions, or force majeure events, Stage-ed will endeavour to:
  • rearrange the Performance;
  • offer an alternative date; or
  • issue an appropriate refund where necessary.

4.5 Stage-ed shall not be liable for indirect or consequential losses arising from cancellation.

5. Venue & Performance Requirements

5.1 The Client agrees to provide:
  • a suitable indoor performance space;
  • access to electrical power where required;
  • safe unloading and loading access;
  • sufficient seating arrangements;
  • appropriate supervision of pupils at all times;
  • a member of school staff present throughout all Performances.

5.2 The Venue must be accessible to Stage-ed no later than 60 minutes prior to the scheduled Performance unless otherwise agreed.

5.3 Delays caused by the Client, including late access or schedule overruns, may result in shortened Performance times.

6. Safeguarding & Supervision

6.1 Stage-ed takes safeguarding seriously and operates safeguarding procedures appropriate to its activities.

6.2 Relevant performers and staff hold enhanced DBS certification where appropriate.

6.3 School staff remain responsible for pupil supervision, behaviour and safeguarding at all times.

6.4 Stage-ed staff are not responsible for supervising pupils outside the agreed Performance activities.

7. Behaviour & Conduct

7.1 The Client is responsible for ensuring appropriate pupil behaviour throughout the Performance.

7.2 Stage-ed reserves the right to pause, suspend or terminate a Performance where:
  • staff safety is compromised;
  • behaviour becomes unsafe or abusive;
  • venue conditions are unsuitable.

7.3 No refunds shall be payable where Performances are interrupted due to pupil or audience behaviour.

8. Intellectual Property

8.1 All scripts, choreography, music arrangements, branding and associated creative materials remain the intellectual property of Stage-ed and/or relevant licensors.

8.2 No full Performance may be professionally recorded, reproduced or commercially exploited without prior written consent.

9. Liability

9.1 Stage-ed will take reasonable steps to provide a safe and professionally delivered Performance.

9.2 Nothing within these Terms & Conditions excludes or limits liability for:
  • death or personal injury caused by negligence;
  • fraud;
  • or any liability which cannot legally be excluded under English law.

9.3 Subject to clause 9.2, Stage-ed's total liability shall be limited to the total fees paid for the booking.

9.4 Stage-ed accepts no responsibility for:
  • loss or damage to personal property;
  • technical issues caused by venue facilities;
  • audience disruption outside its control.

10. Force Majeure

Stage-ed shall not be considered in breach of these Terms & Conditions where failure to perform obligations results from events beyond reasonable control including:

  • severe weather;
  • pandemics;
  • transport disruption;
  • industrial disputes;
  • venue closures;
  • government restrictions;
  • acts of God;
  • utility failures.

11. Data Protection

11.1 Personal information will be processed in accordance with Stage-ed's Privacy Policy.

11.2 The Client agrees that relevant contact information may be used for:
  • booking administration;
  • invoicing;
  • operational communications;
  • relevant Stage-ed service updates.

12. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
